Some of us who have just started may wonder why PDF format is used when it is easier to edit files using Microsoft Word. Then there are a whole host of formats (jpg, png..) for images. Is it just because PDF documents are more visually appealing that we opt for?
According to Wikipedia, “The Portable Document Format (PDF) is a file format developed by Adobe in the 1990s to present documents, including text formatting and images, in a manner independent of application software, hardware, and operating systems.”
Yes, PDF documents appear more visually appealing than Microsoft Word. However, the purpose of a PDF file is different. It is based on a technology that makes PDF documents appear uniform on all devices, irrespective of say a particular font format installed on the desktop used. (Why is a pdf document better than a word document?)
Another reason that makes PDF so vital is a restriction to edit. By default, a PDF document is meant to be printed as it is. Although there are software that allows PDF to edit, there is a system that tracks if the PDF file is edited, when edited, password restriction to edit or view. So, it is usual to find our bank statements attached as PDF files that are password protected instead of Word or JPG format (PDF Files Meet Legal Document Requirements).
Search engines like Google cannot crawl PDFs (non-HTML format) and so not the best choice for documents and forms that seek audience from the search engines based on keywords. For interactive web forms, one can consider web forms builder like WPForms and Gravity Forms.
In 2008, Adobe waived off any royalties for PDF implementation by agreeing to standardize it as an open format. Today, along with Adobe Acrobat, there are a host of brands engaged in making PDF more useful and accessible while adhering to the guidelines set by PDF Association, an international body of PDF industry leaders dedicated to making PDF technology the best it can be.
